2010 National Title I Conference

Terms & Conditions

Booth Assignment
Companies that exhibited at the 2009 National Title I Conference will be given the opportunity to purchase a booth prior to open registration on June 1, 2009. Exhibit booths are available on a first come, first served basis. Show Management reserves the right and sole discretion to alter the exhibit hall floor plan at any time in the best interest of the Conference.

Payment
All exhibit booths and sponsorship purchases require full payment to confirm. Credit card payments are accepted online to complete and confirm purchases immediately. Exhibit and sponsorship items may also be paid by a check within seven days of selection. Items not paid within the seven day period will be returned to inventory for other companies to select.

Cancellation
Conference participation may only be canceled by submitting a signed and completed Exhibitor Cancellation Form.

Refunds
All exhibitor items including exhibit booths, advertising, and sponsorships are non-refundable and non-transferable at any time. Exhibitor registrations and hotel payments are subject to the same cancellation and refund policies as those applying to all attendees.

Eligibility
Show Management reserves the right to determine the eligibility of any product or company for inclusion in the Conference. Show management reserves the right to restrict exhibits because of noise, method of operation, materials, or for other reasons. Objectionable persons, items, conduct, printed matter or anything of a nature that Show Management determines detracts from the overall Conference character will be evicted. Exhibitors so restricted will not receive any refunds or reimbursement. Companies not exhibiting are not permitted to advertise or solicit business within any Conference related areas or to solicit in conjunction with the Conference.

Subletting
No exhibitor shall share, sublet, or assign, any portion of the exhibit booth or allotted space to any other person or company. Exhibitors must show only the products and services ordinarily offered for sale by them in the regular course of business

Exhibition Services
Approved exclusive contractors are listed in the Exhibitors Kit with contact information and order forms. Authorized service providers should be contacted directly. Show Management assumes no responsibility for the performance or nonperformance by such company(s).

Check In
The one Authorized Exhibitor Representative identified in advanced from each company will check in at the Exhibitor Registration Desk during exhibitor registration hours to receive all materials and badges for their exhibiting organization. Badges will not be held nor distributed to individual exhibitor staff.

Exhibitor Staff Registrations
Each exhibit booth includes a single complimentary exhibitor registration for the Authorized Exhibitor Representative. All other exhibit staff registrations must be purchased prior to December 1, 2009 at a rate of $150 each. Exhibitor staff registrations purchased after December 1, will be charged at the full registration rate of $570. All exhibitor staff registration badges, regardless of the rate paid, are provided to the company Authorized Exhibitor Representative. All exhibitors must wear official Conference identification badges at all times.

Move In
Exhibits are to be moved in and exhibit set up completed according to the established move in schedule. Exhibiting companies not occupying designated space or not moving into the booth space during the designated move in hours, may have their participation canceled by Show Management, and such space may be reassigned for the overall benefit of the Conference.

Displays, Signs, Banners, Boxes
Signs, banners, and other display items cannot be hung across the aisles, rigged overhead, and/or exceed the height of exhibit booth back (8’). Additionally no walls, partitions, paintings, decorations or other obstructions may be erected in any way which will in interfere with the view of any other exhibitor.

Empty Crates and Boxes
To comply with fire marshall regulations, exhibitors may not store empty containers, crates, or boxes in the booth, under or within booth furniture, or behind booth draping. The official exhibition service provider will collect and store these items for later use.

Move Out
Any removal, tear down, or packing of items prior to the Conference scheduled move out time determined by the selected booth location will jeopardize the exhibitor’s participation in future events. In addition, a $250 surcharge will be imposed for early packing and breakdown. No goods may be removed from the building until all bills incurred by the Exhibitor are paid in full.

Associated Exhibitor Events
All activities scheduled outside the exhibit area or authorized demonstration stage, including meetings, special events, sales presentations, social hours, and/or receptions planned for any Conference attendees, must occur outside of Conference hours and must be approved in advance (including in advance of scheduling an event or extending invitations) by Show Management. Any such activities not approved and/or conflicting with the Conference schedule as determined by Show Management will be in direct violation of the exhibitor Terms and Conditions and may result in loss of exhibit privileges or other penalties.

Facilities
Exhibitor agrees to comply with all rules and regulations prescribed by the management of the exhibit facilities, meet the requirements of all local authorities, and obtain, at their own expense, any necessary permits, licenses, or equipment, should any be required for individual displays or the particular exhibit of the Exhibitor. The Exhibit Hall is limited to adults only.

Violations
Any company that fails to abide by these Conference terms and conditions may be dismissed from Conference participation and jeopardize the exhibiting company’s participation in future events. Show Management has the right to enforce all terms and conditions at Exhibitor’s expense.
If Exhibitor defaults in the performance of any term of this contract (inclusive of payment of fees, maintenance of insurance, and compliance with any and all rules and requirements, terms and conditions, concerning the use of the exhibit facilities), Show Management, at its option, may immediately terminate this contract. Upon such termination, Exhibitor’s rights and privileges under this contract shall terminate, and Show Management shall have the right to take possession of the space occupied by the Exhibitor and to remove all persons and goods, without any liability.

Certificate of Insurance
Each event exhibitor agrees to keep and maintain in force for the dates of the exhibition, insurance in the following amounts: a commercial general liability policy with a combined single limit for personal injury and property damage of $1,000,000.00 per occurrence and $2,000,000.00 in the aggregate. Each exhibitor agrees to provide a certificate of insurance confirming such coverage to A+ Events prior to December 1, 2009.

Indemnification
Each exhibitor agrees to: (1) indemnify, defend and hold harmless A+ Events (Show Management), the Gaylord National Resort and Convention Center (Hotel), and the National Association of State Title I Directors (NASTID), and their respective employees and agents against any claims or expenses arising out of the use of the exhibition premises, and (2) that it understands that neither Show Management, the Hotel nor NASTID maintains insurance covering the Exhibitor’s property and it is the sole responsibility of the Exhibitor to obtain such insurance. Each exhibitor agrees to provide a written statement accepting this indemnification clause to A+ Events prior to December 1, 2009.

Terms and Conditions Amendments
Any additional details not specifically covered by the terms and conditions contained herein shall be subject to the decision and at the discretion of Show Management. At the sole discretion of Show Management, changes, amendments, or additions may be made to these terms and conditions. Any such changes shall be binding on Exhibitors equally with the other terms and conditions contained herein.
